From PDF Applications to Fully Digital Processes

Paper-based processes, PDF applications, and manual signatures are still part of everyday business for many organizations. Documents are downloaded, printed, signed, scanned, and then manually entered into ERP, DMS, or business applications. This takes time and increases administrative effort. At the same time, more and more business processes — from contracts and e-invoices to official notices — require legally compliant electronic signatures.

With DARZ qualified trust services, you can digitize your signature processes in compliance with eIDAS 2.0. You can use Qualified Electronic Signatures (QES) and Qualified Electronic Seals — without a signature card or card reader. Thanks to modern remote signature technology, you can sign securely from any device while maintaining sole control over the signing process.

Your cryptographic keys are protected using certified high-security modules (HSM/QSCD). The technology is powered by our partner Paperless Trust, a Qualified Trust Service Provider (QTSP).

What Is a Qualified Electronic Signature (QES) and When Is It Required?

A Qualified Electronic Signature (QES) is the highest level of electronic signature under the eIDAS Regulation (EU) No. 910/2014, as amended by Regulation (EU) 2024/1183 (eIDAS 2.0). It is legally equivalent to a handwritten signature and is used wherever the statutory written-form requirement must be met, for example for certain employment contracts and other legally sensitive documents.

Depending on your use case, we support all three levels of electronic signatures. This allows you to choose the signature level that best fits your business process.

EES

Simple Electronic Signature

For internal approvals and simple confirmations.

FES

Advanced Electronic Signature
For contracts and documents requiring a higher level of security.

QES

Qualified Electronic SignatureFor documents subject to statutory written-form requirements and requiring the highest level of evidentiary value.

Level Identity Verification Typical Use Legal Status
EES None Internal approvals, acknowledgements, handover records Admissible as evidence, subject to the court’s free assessment of evidence
FES Signatory authentication Framework and supply agreements, quotations, HR documents Greater evidentiary value; does not replace the statutory written form
QES Verified identification Transactions subject to statutory written-form requirements Legally equivalent to a handwritten signature (Art. 25(2) eIDAS)

This information does not constitute legal advice. Whether a particular transaction is subject to a statutory written-form requirement must be assessed on a case-by-case basis.

Frequently Asked Questions

Can we create and modify forms ourselves?

Yes. Forms are created in the editor using drag-and-drop and can be maintained directly by your specialist departments. We support you with the initial setup and complex field logic.

Can the solution be integrated with our systems?

Yes, via API. Typical integrations include ERP, CRM, and document management systems, as well as specialist applications. We assess the required effort after reviewing your existing interfaces.

Do I need a signature card?

No. With remote signature technology, you can sign securely and with legal effect directly in your browser — no additional hardware required.

What is the difference between EES, FES, and QES?

EES is suitable for simple approvals, FES provides greater evidentiary value, and QES is legally equivalent to a handwritten signature.

Where is the data processed?

Data is processed exclusively in Germany. Operations and data storage are hosted at the DARZ ISO 27001-certified data center in Darmstadt. The processing is governed by a Data Processing Agreement pursuant to Article 28 of the GDPR.

Are the forms accessible?

The forms are designed to support keyboard navigation, screen reader use, and sufficient color contrast. Whether a specific form fully meets the requirements of BITV 2.0 or the German Accessibility Strengthening Act (BFSG) also depends on how the content is designed and must therefore be assessed on a case-by-case basis.
